I love using the conditional formatting and the workflows. I set workflows to remind myself and other people of work and this takes a lot of manual work off of my plate. SS is also really pretty and simple to look at.
I wish you could hide rows. This would really help with project management. When an item is complete on a project plan, we want to be able to hide it for archive purposes.. but there is no good way to do this. I also wish you could link comments between sheets. This would help us get all of the info from source sheets to destination sheets. People who are less savvy with SS may make a comment in a source sheet as a 'safe' way to notate something..but then it cannot get transfered to a destination sheet.
We use SS to request updates from stakeholders on ongoing projects. We keep them accountable by using workflows for automated reminders and custom reminders ( e.g. if update cell is blank, then send ANOTHER email reminder). We also use automation to autolock and auto-unlock rows so that we can control input during work sprints. Smartsheet gives our top leadership a good view on who is behind on which projects.
I use it every day to track tasks and customer/client information. I find it very useful to replicate sheets for new clients.
Too many features that I would never use for my position and role in the company.
An excellent way to track payments and invoice management. Allows me to easily send to clients overdue notices with all the necessary information in PDF format.
I use smart sheet daily as a designer. I create sheets for each customer, and in each sheet, I separate the projects; I can specify the product in detail and add all the information I need as a library to each custom project made for this customer. I can attach images as a reference and communicate with my co-workers on each project/item if we are tag teaming.
I dont like how it doesn't have a "trash" file; sometimes I have deleted a row by mistake, and once gone, it's gone, so a place where all deleted rows go would be like the "trash" on a desktop.
Havent come across a problem, but I like how I can have multiple sheets and add as many rows and as many attached files, from small to large files, its great! Also sending email direct from the rows.
The variety of which it can be utilized is great. We can use it on a variety of different projects and it keeps everything familiar for the team executing.
The formulas are similar to Excel but different enough to sometimes make using them frustrating.
It's our main source of truth for our projects. If its not documented or updated, it didn't happen from our perspective.
Smartsheet is a self-intuitive project management and collaboration tool, which is helpful for its ease of use and flexibility. It allows users to easily create, track and manage projects, tasks, and deadlines in a user-friendly interface. It also offers features such as Gantt charts, collaboration tools and dashboards.
I find the design pretty archaic, in particular in dashboards. Unfortunately, it doesn't allow much customization and provides limited coloring schemes/design options. It would be appreciated if you could make it more affordable for self-proprietors!
It helps me organize my thoughts into actions, make plans, follow them up and visualize data.
I really enjoy the ability to automate approvals, reminders and other workflows within the system. I find the templates to be very helpful and collaboration within the system is efficent.
I would like for Smartsheet automations to be simpler to manage as far as when items are added and changed within the system. It would be helpful if there was some sort of automation assistant.
Workflow and bonus approvals as well as task and project management. The system is easy to use, integrates with Outlook and our BI platform for better communication and analytics.
All of our team's data and project management now takes place within Smartsheet. The ability to easily share info across users using data mesh, automation and reporting is essential. I can't imagine going back to another tool.
Some of the cell formatting and navigation within Smartsheet is not the most convenient. Now that I am used to it I don't notice as much and it is not a barrier to productivity.
Our team works with sales lead data and Smartsheet helps us create customized trackers and forms to carry us through every step of our project management process.
The sharing capability is what I find to be the best feature of Smartsheet. This eliminates the back and forth emails of a document (example: excel) and the possibility of someone having the wrong copy. Smartsheet also shows you who last made an edit to each line which is helpful in case there is information that raises questions and needs to be confirmed with the last person who modified the line.
The downsides of using Smartsheet include not being able to have a parent row make the rule for the rows under it. The rows under the parent row will follow the rules of the whole sheet instead of staying under the parent row and staying grouped together - this issue applies to sorting in order the sheet
Smartsheet solves the problem of forgetting information and forgetting to make sure all the to-dos are completed before moving on to the next step.
Smartsheets can help me build reports easily along with capturing information from a variety of my contacts.
It's not easy to change formating around or add in pictures/icons.
Smartsheets allows my organization to easily collaborate with professionals outside my organization in a format that is HIPAA and FIRPA protected.
I like the flexibility of the program. You can create forms, "dress them up" to meet your needs and upload attachments. Our organization uses Smartsheet to track PTO requests, request information from our members, and respond to surveys.
What I dislike the most is the idea that Smartsheet is just Microsoft Excel. That is completely false. There are many more creative ways to use this software, such as adding your logo to forms, and allowing multiple users to upload documents and complete fields.
It allows for a streamlined process when requesting information from outside parties. The easy link can be sent out via email, and then stakeholders can update data in forms and upload documents; instead of trying to track down email replies and attachments, it's simply in one document.

A couple of items that could maybe use some more love. • I would like to use cell borders better; what can I say – I like formatting thick borders. • Simplified formatting option to automatically alternate the color of rows. • Upgrades to the formatting tools for data (like pivot tables).
My team produces events & we use Smartsheet as our production timeline, graphic proofing tool, and everyday budget tracker. It is simple with a relatively short & easy learning curve for everyone on the team - no matter how “technology adapt” they are or are not. Overall, my team likes the simplicity and versatility of Smartsheet. It is not just a project management software or accounting spreadsheet. It is a versatile and economical solution for teams that need something to keep them all connected.
Smartsheet is very user-friendly and easy to get off the ground. I have used it at 3 start-ups and have built sheets and reports to support best practices for a PMO framework in just a few hours. The fact that you can collaborate with non-licensed users is huge, especially for start-ups with limited funds.
Viewing sheets and cell change history is good; however, there is no version control. If someone deletes a bunch of data, there's no way to restore from a previous version of the sheet.

I love all the useful functions, and I really love how user friendly it is. It's like Spreadsheets and Asana or Monday had a kid. Whenever I need some kind of tool or solution, I can imagine just how to use it in Smartsheet. And when I'm stumped on anything, there's always a way to search and figure out what I'm trying to do. Or reach out if it goes beyond that. I use it every day for just about everything.
The main downside with Smartsheet is that it isn't free. So if I want to share and collaborate with someone who isn't willing or able to pay for it, then I have to switch to a different open source spreadsheet. This is definitely a downside.
We're a farm and essential oil distillery business, and our entire year is a relay race of key date milestones. I create a timeline gantt chart of date formulas and status indicators with check lists and automated alerts, to keep us on track all year. Also track all kinds of other key metrics and information about our crop and yeilds. Smartsheet also allows me to share clean visual information with the dashboard to the whole team. Also helps us keep up with our regulatory compliance date requirements, and even fill out the pdfs to submit.
SmartSheet has helped automate the assignment of tasks. I was able to set up automatic reminders for due dates, for example, software that is about to expire in the Organization. This has allowed for timely renewals of software and subscriptions to ensure continuity. Tracking the status of tasks and activities has been made easier using SmartSheet. The application is also very user-friendly.
There is nothing to dislike about SmartSheet.
SmartSheet has reduced the number of phone calls and email reminders of approaching due dates for tasks assigned. An overview of projects can be seen by using the reporting function.
There are many things I like best: 1) Easy to use. Extremely intuitive, and if I hit a roadblock, the user community always has an answer. 2) Easy to add contributors. This is key for my business. I can have different clients be editors or viewers under my license. 3) Dashboard. This is the perfect (and easiest) way to help my co-workers and clients see or gain access to everything they need. Both creating is user friendly and always provide a professional view and experience for people I work with.
I haven't found a real downside yet. I continue to recommend Smartsheet to anyone who asks for project management or a similar solution.
The biggest win is collaboration, communication and accountability.
I love that you can link different sheets to make a dashboard of overall numbers. Also i love that you can make people users, editors, and commenters. Smartsheet does not come close to comparing to other companies.
Sometimes support takes some time to get back to you.
Smartsheet is great for our company because it shows us all of our numbers as far as collections, new patient numbers, numbers for marketing, etc. This is a great tool for our end of month meeting and overall for our company.
Creation of projects, mimics Microsoft Project but much easier to update. I love how you can collaborate with your engineers as well as your clients.

Smartsheet has been a game changer for managing projects and receiving input from multiple people. Our department uses the form feature constantly and it works great for receiving requests. Would highly recommend for large teams.
The main thing I dislike about Smartsheet is that you are unable to freeze panes on a row. You are only able to do it through columns. Also, formulas can be tough to set up as it isn't as easy as excel.
Instead of receiving hundreds of emails from multiple people, we are able to use the form feature and have everything submitted through Smartsheet. It has made our department much more efficient.

Not anything specific, but the constant need to save a change made to the sheet could be frustrating at times. I have encountered multiple instances where I lose important changes due to this.
Delegating and actively monitoring a project's progress is easier using Smartsheet. Automated reminders of the changes made and new fields added also helps be on top of things.
